Dr Nici Sweaney is the founder of AI Her Way, an AI strategy consultancy that helps purpose-driven businesses adopt AI ethically and effectively. With a background in data science and global consulting, Nici works across education, healthcare, marketing, and social enterprise, delivering workshops, bespoke consultancy, and executive education to clients across 20+ industries.

The challenge

Despite running a consultancy that helps others optimise their operations with AI, Nici didn’t have a dedicated project management system for her own business. Work was being tracked ad hoc, projects were managed across scattered tools, and there was no centralised place to see what was happening across the consultancy at any given time. As the business grew and took on more clients and subcontractors, the lack of a structured PM system was becoming a real bottleneck.

The system

Over four weeks, we designed and built a ClickUp workspace tailored to how AI Her Way actually operates. The build covered project pipelines, task management, client tracking, and workflows that give Nici and her team visibility across all active engagements. The workspace was structured to accommodate both Nici’s direct consultancy work and the subcontractor projects she manages, including the kind of work she later brought Pink Ocean in on.
