The client
Club Coco is a branding and design studio. They also run Love Coco, a wedding stationery arm of the business. Both brands operate from the same Moxie workspace, which means pipelines, automations, and client communication need to work seamlessly for two very different service lines.
The challenge
Moxie was already in place, but it wasn’t working hard enough. Forms had inconsistent mapping keys, automations weren’t set up, and the two brands weren’t properly separated within the system. Ambar, the operations manager, was doing most of the project managing but had no visibility into what Mila, the founder, was doing – emails sent from Moxie’s communicator were private, so lead follow-ups were invisible unless she asked directly. There were also too many tasks generating overwhelm, no automated rejection emails for leads that weren’t a fit, and the client approval workflow for design proofs wasn’t connected to the system. Everything was manual that could have been automated.
The system
We ran a full Moxie audit, then rebuilt the system to support both brands properly within one workspace. The work included: Pipeline restructure: Separate pipeline stages for Club Coco and Love Coco, each with tailored automations. Love Coco’s flow handles the inquiry form first (since Mila needs to manually assess fit), then waits for the agreement to be sent before progressing. Automated workflows: Inquiry confirmation emails, rejection emails triggered by a simple drag-and-drop, testimonial requests after project completion (with a three-month delay), and internal notification emails so Ambar always knows when leads have been followed up. Client approval system: A task status workflow where designers can move a task to “client approval,” triggering automatic notifications to the client with weekly reminders. Form and field cleanup: All mapping keys standardised, Love Coco-specific fields prefixed with “lc”, custom fields for wedding/venue dates, and a Pinterest board link variable that auto-populates into onboarding emails. Project collaborator setup: Subcontractors and designers can now be added with limited access — they see their assigned projects and tasks only, with time tracking built in.
