The client
Nur Halik runs Fempowered Social, a social media management business helping brands build their online presence. As a solo operator managing multiple clients, Nur’s time is her most valuable resource — every hour spent on admin is an hour not spent on the creative, strategic work her clients pay for.
The challenge
Every new client meant the same exhausting cycle: manually chasing brand guides, requesting Meta admin access, collecting Instagram passwords, sending agreements, and following up when things stalled. None of it was documented — Nur was keeping the entire onboarding process in her head, jotting down notes and hoping nothing fell through the cracks. The result? Onboarding ate into the time she needed for actual client work. She was falling behind on deliverables and struggling to find space to work on her own business. She knew she needed to automate, but didn’t know how — so the problem kept compounding. In Nur’s words: “Every time I had a new client, I spent WAY too much time manually chasing up the same things. It was such a waste of the already limited time I had.”
The system
We started by getting the onboarding workflow out of Nur’s head and into a documented system. Once the full process was mapped and any gaps identified, we built it into Make with automations that connected to Trello and Google drive to handle the repetitive tasks — sending the right forms at the right time, collecting client information, triggering follow-ups, and moving clients through each stage without manual intervention. The build included custom client onboarding forms, automated workflows triggered from the initial discovery call, documented processes for each stage, and fine-tuned system settings to match how Nur actually works. The goal was simple: from the moment a discovery call wraps up, the system handles the admin so Nur can focus on the work that earns money.
