The client
Rachel Gronback is a business coach who works with clients across New Zealand, Australia, the US, and the UK. She’d been running her business through various systems for years, from Proposify to Dubsado to Moxie, and needed her CRM to handle multi-currency invoicing, consolidated proposals with payment plan options, and integrations with Xero and Stripe.
The challenge
Rachel had already invested in a Moxie build previously, but the handover hadn’t landed. The system was technically well-built, but the complexity of getting comfortable with it meant Rachel never fully adopted it. She was stuck, she knew the system could do more, but couldn’t get her head around how everything connected. The real barrier wasn’t the tech. It was the mental load of slowing down long enough to work through a new system while running a busy coaching practice with clients across multiple time zones and currencies. In Rachel’s words: “The previous build was technically well built, but the handover and complexity of getting used to a system like that was the real thing I just couldn’t get my head around.”
The system
Rather than starting from scratch, we audited what Rachel already had, identified what wasn’t working, and rebuilt the parts that needed fixing. The key difference this time was the handover approach: a full video walkthrough of her system, an interactive HTML reference guide she could bookmark and search anytime, and a structured testing phase where Rachel followed along step-by-step. We also tackled her multi-currency setup (NZD, AUD, USD billing), consolidated her proposal templates so clients weren’t seeing the same information twice, and connected Moxie to Xero via Pably Connect for automated invoice creation and client record syncing.
